Job Key Details:

  • Offer general administrative support in the office, including managing correspondence, answering phone calls as well as handling incoming and outgoing mail
  • Coordinate and schedule appointments, meetings as well as travel arrangements for staff members
  • Maintain and update company records, databases as well as filing systems
  • Prepare and distribute internal communications
  • Coordinate with freight forwarders to track all relevant incoming shipments and follow up on supplier’s invoice, share the inbound information to warehouse team and maintain record
  • Assist in the preparation of presentations, meeting agendas as well as meeting minutes
  • Obtain the information of upcoming shipments and coordinate with BAAs to receive the purchase order and create an appointment in WMS or in ECM
  • Conduct research and compile data for various projects and reports
  • Liaise with the internal stake holder and external suppliers for warehouse maintenance work, ensure the repairs or works are carried out in an efficient manner
  • Support HR functions, such as managing employee records, onboarding new hires as well as coordinating employee events
  • Order and maintain office supplies and equipment, ensuring inventory levels are sufficient
  • Plan to collect petty cash from head office, distribute to departments and keep the record of it
  • Maintain record of warehouse documentation for contracts, order, invoice, fulfilment and deliveries
  • Conduct any other related tasks as may be required

Job Qualifications and Experience

  • Possess a Degree in a relevant course with a minimum of 2 years of experience in the same of similar position
  • Proven experience in the same or similar position required
  • Expertise in using office software, such as Microsoft Office Suite
  • Should have strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Must be able to handle confidential information with integrity and discretion
  • Strong problem-solving skills and the ability to adapt to changing priorities
