Your Day-to-Day Responsibilities
- Provide day to day support to all direct employees with regards to travel coordination duties such as bookings, cash advances, etc.
- Assist Project Manager with employee contracts, contract amendments and manages the employee contract documentation process
- Process and review travel expense claims for accuracy and liaises with direct employees regarding issues. This may also include but is not restricted to booking all travel and completing/reviewing expense claims
- Create and maintain accurate records for travel information
- Assist as requested on administrative procedures, and task monitoring reports,
- Create direct employees’ files and maintain adequate documentation to ensure audibility
- Assist with tracking activities such as timesheets and hours committed to projects
- Prepare and mail out of correspondence
- Act as the designate for the automated call up system (portal)
- Collect, track and process direct employee timesheets
- Foster and maintain a solid collaborative team relationship with external and internal customers
- Remain current on legislation for all provinces in which Calian does business
- Act as the back up to the Project Manager
