Job Responsibilities:
- Conduct market research, gather information, research vendors and negotiate contracts
- Collaborate with various offices across Canada to execute events
- Support the management and execution of virtual events (MS Teams)
- Populate campaign process tools including critical paths, event budgets and run sheets
- Compose, finalize and send invitations via Vuture, our email marketing software
- Prepare feedback surveys and reports as required via Cvent, our survey tool
- Attend in-person events (in your local city) and receptions to ensure that internal guests are greeted and the logistics and details of the event are followed through seamlessly
- Ensure events are carried out using best practices and consistently; adhere to best practices as part of the client services team
- Ensure compliance with communication policies, procedures and brand standards
- Prepare event RSVP reports
- Maintain effective relationships with vendors and ensure all invoice payments are processed accordingly
- Assist in monitoring expenses and achieving all budget requirements for events
Job Requirements:
- University degree and/or post-secondary studies in communications, business administration and/or related diploma in event management
- Minimum 3 – 5 years of relevant experience in a professional services firm environment
- Experience in executing in-person and virtual events
- Excellent written and verbal communication skills
- Excellent multi-tasking and analytical skills with the ability to meet deadlines within a fast-paced work environment
- Digital event experience with virtual platforms (Zoom/ MS Teams)
- Experience in most document management systems and CRM databases, including InterAction and Vuture (email software)
- Positive attitude and approach to each task
- Ability to initiate action and work both independently and in a team environment
- Quick problem solver
- Strong attention to detail
- Ability to maintain composure under pressure at events
- Flexibility in scheduling work hours to accommodate the timing of events, which may include working early mornings, evenings and weekends
