Job Responsibilities:
- Manages the back office support team .
- Responsible for:
- Facility Management, e.g. mail, office and reception , non-IT infrastructure
- Responsible for BCP, ISO
- Data protection and Local security management
- Responsible for employee insurance and maintenance
- Monitor and manage office supplies
- Responsible to support MD with secretarial assistance ( Schedule management , Meeting arrangement ,calendar and leave maintenance etc)
- Organise office Layout
- Create and Maintain office Budget
- Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
- Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers
- Coordinate office staff activities to ensure maximum efficiency
- Establish and monitor procedures for record-keeping
- Maintain a safe, secure, and pleasant work environment
- Reporting office progress to senior management and working with them to improve office operations and procedures Key Responsibilities
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
- Proven office management, administrative, or assistant experience
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Organization and the ability to multitask to complete a wide variety of tasks
- Flexibility to help them adjust to new tasks should company or office needs change
- Strong interpersonal skills to interact positively with all employees
- Leadership ability to manage challenges and oversee employees
- Knowledge of business and management principles
- Computer skills and knowledge of office software packages
