Key Responsibilities:

  • Assist concerned department in the review of quotes from all angles and finalize supplier using criteria
  • Raise purchase orders based on requisitions from various dept.
  • Follow proper channels to obtain purchase authorization according to company policy
  • Ensure proper documentation of purchase orders together with all supports
  • Facilitate and document contracts, AMCs and service agreements using SAP module “CLM”
  • Tracking of all open purchase orders, review, follow up, and cleaning up.
  • Timely submission of invoices in account payable for recording and payment
  • Play an important role with the manager in forming and implementing purchase policy and procedure.
  • Fair knowledge of Vendor Master Data, Vendor Invoices, Posting, and Reconciliations
  • Keeping petty cash, reimbursement, and monthly reconciliation
  • Arranging cheques collections from customers and deposit in the bank on time
  • Developing monthly reports with analysis of various staff-related costs like telephone, car, and travel
  • Work with the team in monthly closing, quarterly forecast yearly budget and statutory audit.
  • Liaise with Grundfos shared services on all functions as and when required
  • Raise tickets to GSS to document posting
  • Arrange cheque payment based on requisition from admin and other department based on approval
  • Responsible for maintaining records of the company’s assets, tagging, barcoding and physical verifications

Job Requirements

  • Candidate must have at least 3-5 years of working experience in handling purchase / PO creation and vendor management
  • Must have a bachelor’s degree in business, accounting, or other relevant fields.
  • Knowledge of SAP and CLM database on contracts will be an added advantage
