About the job

The Job:

We are currently looking for an experienced Sales Support Coordinator, the position is based in Dubai, UAE. The successful candidate will be responsible for providing day to day support to the management and the members of the sales team by assisting with the preparation of Tender, RFI, PQQ documents and registration management in support of all divisions with particular focus on bids, tenders with all major customers, entities and the authorities.

Responsibilities includes but not limited to the following:

Sales Administration & Support:

  • Assist the sales team with preparing proposals, quotations, and contracts.
  • Process purchase orders and coordinate order fulfillment.
  • Maintain and update customer records in the CRM system.
  • Receive, manage and respond to transactional, consultative and AMC opportunities.
  • Track sales performance and generate reports for management.

Customer Communication & Coordination:

  • Act as a point of contact for customers, handling inquiries and providing product/service information.
  • Coordinate with internal teams (finance, logistics, and operations) to ensure timely order processing and delivery.
  • Support in resolving customer issues related to sales orders and invoicing.

Documentation & Reporting:

  • Maintain sales-related documentation, including agreements, pricing, and customer records.
  • Prepare sales reports, forecasts, and data analysis for management review.
  • Assist in preparing presentations and sales materials.

Process Improvement & Coordination:

  • Work closely with the sales team to streamline processes and improve efficiency.
  • Ensure compliance with company policies and industry regulations.Support marketing activities, including coordinating events and promotional campaigns.

The Ideal Candidate:

  • Education: Bachelor’s degree in Business Administration, Sales, or a related field.
  • Experience: Minimum 5 years of experience in sales support, administration, or customer service.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and CRM software.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Preferred Qualifications: Experience in the security, technology, or ELV systems industry (if relevant to your business).
  • Knowledge of ERP/CRM tools such as Salesforce, SAP, or Microsoft;
