Roles & Responsibilities

Purpose of the Job

The position holder is responsible for leading the NFPC delivery services for a highly diverse and strategic portfolio of customers ranging from well-established trade customers to diversified channels (Modern Trade, HoReCa, Petrol Stations etc.) with different natures of operations through optimal utilization of resources. Implement the continuous improvement and optimization projects in coordination with the sales and supply chain team, approved by the Sales Service Manager.

Key Accountabilities in detail with sub-tasks

Order Management

  • Review the order management process on the system and define priorities and assign delivery accordingly with effective and optimal usage of resources to achieve the target delivery schedule by channel, volume objectives.
  • Oversee and control the lifecycle of sales orders from order placement to fulfilment.
  • Achieve a customer-centric delivery plan as per the agreed terms.
  • Partnering with the Planning Manager to ensure product availability for sales promotions and various market activities per sales channels.
  • Identify the trends and opportunities of improvement and areas where operational efficiencies can be improved.

Planning & Budgeting

  • Assist in annual budget process and prepare annual operating plan proposal for SC Delivery department.
  • Highlighting manpower needs, equipment needs, cost-saving initiatives and department budgets required to achieve the company’s desired volume growth.
  • Conduct studies related to efficiency enhancement initiatives such as delivery time and motion and resource allocation to determine the right size of the workforce, and make recommendations about logistics placement and size in distribution centre locations for optimal resource utilization.
  • Continuously adjusts staff work schedules considering the changes in market dynamics (Traffic bans, major road constructions, customer changes…etc.), updates system information in light of the road reroutes/ detours and uses territory planner & road net systems to effectively improve delivery lead time and efficiency.
  • Review the cost of operation vs budget vs the volume handled and recommend cost optimization initiatives.

Operation & Execution

  • Conducts morning briefings with Asst. Distribution Managers / Supervisors to review progress against monthly targets and plans for the day, highlighting the urgent deliveries and opportunities for additional trips to meet the company’s sales targets.
  • Review order process management to achieve the accuracy and efficiency objectives.
  • Plan and optimize transportation routes to minimize costs and maximize efficiency.

Information and Customer Relationship Management

  • Oversees the effective maintenance and update of customer information on the Customer Master File including address, coordinates, geocodes, channel migration, and delivery time window for Organized Trade and Traditional Eateries on the system to ensure the accuracy of order deliveries in the trade.
  • Managing interactions and relationships with customers throughout the sales cycle.
  • Collaborate with internal stakeholders to plan and improve order processing/delivery.
  • Use Customer Relationship Management systems to track customer preferences, and purchase history, and provide service as per the agreement.

Routing

  • Uses Roadnet for maximum truck utilization and route efficiency
  • Utilizes territory planner system to re-route territories and districts as per business requirement
  • Review and determine the most efficient path of product delivery, which includes reviewing the Geographic Information System (GIS), vehicle type, load capacity, delivery equipment, GPS systems to monitor delivery execution and vehicle performance.

Order Returns

  • Monitors and analyses sales returns to capture reasons and address root causes.
  • Partners with sales (retail operations, channel/key account managers) to resolve any delivery delays or customer rejections in the trade to ensure all cases are delivered as ordered and minimize double handling costs and cost per delivery.
  • Agree on order return policies with Channel Managers and define the process.

Fleet

  • Manages fleet efficiency, route compliance and market execution through a GPS monitoring system.
  • Oversees the regular checks on the company trucks to ensure they meet the safety, hygiene, and quality standards, and liaises with the fleet department to resolve any issues to reduce asset downtimes and/or safety hazards.
  • Reports and Dashboard
  • Review the department performance, propose and implement performance indicators for activities related to order deliveries, customer service and returns
  • Works with IT to design and automate logistics reporting, and tracks KPIs manually and/or through the system to minimize inefficiencies and improve customer service.

People Management

  • Lead, coach, develop, and evaluate employee performance.
  • Engage and motivate the employees to achieve the business results.
  • Complete the Performance Management and Development process of the team/department as per the organization’s timeframe.
  • Plans employee leaves, manages their assignments, facilitate their work.
  • Involve in the selection, onboarding and termination of employees.
  • Plan skill development of employees that enhances the AOP of the department.
  • Works closely with HR for effective implementation.

Desired Candidate Profile

  • 10-12 years of experience
  • Graduate preferably in engineering or business
  • Experience in managing last mile deliveries (From DC Warehouse to Customers)
  • Experience in managing deliveries of Modern Trade
  • Strong knowledge of Route Planning, Route Optimization
