Job Description

The Office Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by performing a range of administrative and clerical tasks. Key Responsibilities:

Administrative Support:

  • Greet and assist visitors, clients, and staff in a courteous and professional manner.
  • Answer, screen, and direct phone calls, take messages, and respond to inquiries.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Prepare and edit correspondence, reports, memos, and emails.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Manage incoming and outgoing mail and packages.

Office Maintenance:

  • Office Supplies Management: Keep track of office supplies inventory by monitoring stock levels and placing orders as needed.
  • Office Environment Maintenance: Ensure the office space remains clean, organized, and well-maintained.
  • Building Coordination: Liaise with building management to address any maintenance or repair issues.
  • Equipment and Facilities Oversight: Monitor and manage office equipment and facilities.

Data Management:

  • Data Entry: Input data into databases, ensuring accuracy and integrity.
  • Filing System Management: Maintain and update filing systems for both physical and electronic documents.
