Description

We are a fast-growing US-based law firm focused on scaling efficiently through strong systems, automation, and operational excellence. We are looking for a high-performance Systems & Operations Manager to act as a key operator and partner to the founder. Role Overview This is not a passive management role. You will be responsible for owning outcomes, improving systems, and ensuring the firm runs efficiently day-to-day. You will take initiative, solve problems independently, and continuously improve how the business operates.

Responsibilities

Manage and optimize daily operations across intake, case management, and internal workflows Build and improve systems using GoHighLevel (GHL), CRMs, and automation tools Create SOPs and ensure processes are followed consistently Identify bottlenecks and fix them without waiting for direction Manage and hold team members accountable (intake, admin, marketing support) Track KPIs and report performance regularly Reduce dependency on external vendors by building internal processes Support the founder in scaling operations and execution

Qualifications

3+ years in operations, systems, or project management Experience working with US-based companies (law firm experience strongly preferred) Strong knowledge of GoHighLevel (GHL) or similar CRM/automation tools Experience building workflows, automations, and SOPs Strong English communication (written and verbal) Experience managing remote teams Law firm operations experience (intake, case lifecycle, legal workflows) Familiarity with legal CRMs or case management tools Experience using AI tools (ChatGPT, automation tools, Zapier, etc.)
