The main duties and responsibilities of Roles Based On Different Jobs :

  • To constantly review task processes and staff productivity in ensuring that work standards are consistently met
  • To handle staff scheduling and administrative report requirements
  • To guide and supervise central reservations advisors in the daily tasks to ensure a consistently high quality of work
  • To handle special projects delegated by the Reservations/ Assistant Reservation Manager
  • Ensure that the Reservation lines are attended at all times during scheduled hours and that sufficient staffing is present to meet the daily business demands
  • Accommodate all guest requests in an accurate and efficient manner
  • Monitor and handle guest complaints/disputes following procedures and ensuring guest satisfaction
  • To assist the Reservations Manager in updating the Reservations manual on a regular basis
  • To co-ordinate reservations requirements with the respective departments
  • Ensure team responds to incoming calls within 3 rings, using correct salutations and telephone etiquette
  • Monitor and ensure that all reservations are input into the system accurately, completely and promptly
  • Monitor reservations requested by fax, telephone and e-mail
  • To coordinate office activities to ensure work updates are consistently maintained and all correspondence promptly handled on the same day received
  • To ensure that all reservations are thoroughly reviewed prior to guests’ arrival
  • Supervises checking of arrival (1/3/7 – day check) and ensure that reservations are correct and handled proficiently
  • Ensures that all guests visas are actioned in a timely manner to ensure guest satisfaction
  • Monitor the daily bookings received from the Website / GDS for the last 24 hrs to ensure all aspects are actioned properly
  • To alert Reservations Manager of any sudden fluctuations in occupancy levels
  • To provide team with updated room availability to maximize sales opportunities and minimize regrets build-up
  • To monitor group reservations activities and cut-off schedules
  • To monitor allotments based on cut-off schedules
